How to use Graft'd

From the first walk-round to getting paid: quote on site room by room, send a scope of works your customer can follow, take payment on the spot and pay your team correctly, all from your phone.

Updated 4 November 2026.

Quick answer

Set your business details, rates and payment link once. On site, open Office, tap Voice Quote and walk the job room by room, saying what each room needs. Check the scope of works, the team and any drums or packs, then send the quote by email or WhatsApp for your customer to accept. When the job is done, turn it into an invoice and let the customer pay there and then by scanning a code on your phone.

Set up in five minutes

  1. Tap the 馃懁 at the top to open Profile and Settings. Add your business name, phone, email and logo. They go on every quote and invoice.
  2. Under Your rates, set your hourly rate or day rate and your materials markup. Graft'd uses them on every quote.
  3. Under Get Paid Online, paste your own payment link (Stripe, PayPal.Me, Monzo.me, SumUp or similar), and add your bank details. Money always goes straight to you.
  4. If you are VAT registered, say so when Graft'd asks and add your VAT number to your business details.

Quote on site, room by room

  1. Open Office and tap Voice Quote. For a bigger job, do a walk-round: start each room and say what it needs, for example "two chrome double sockets and six spotlights".
  2. Graft'd lists the items for that room and prices them from your rates and the supplier prices. Nothing is recorded while you walk between rooms.
  3. Name rooms the way your customer knows them, such as Bedroom 1 or Sam's room. Add more rooms as you go.
  4. Check any line marked Check or AI estimate. Tap a line to change it, or tap Other suppliers to pick a different price.

Check the scope of works

  1. Graft'd writes a scope of works from what you said: an opening line, then what will be done in each room. It is the first thing your customer reads, so it shows them you understood the job.
  2. Anything you were unsure about ("might", "seems") is listed as "To be confirmed on site" rather than promised.
  3. Tap Edit to put it in your own words, or Write it again. On older quotes, open the quote and tap Write it for me.

Set the team and days on site

  1. Under Team on the job, set how many people will do the work and your working day. Graft'd shows the customer something like "2 people, about 2陆 days on site".
  2. The price does not change. It is the same hours shared out.

Items sold in drums and packs

  1. Cable, clips, connectors and other things sold by the drum or pack are added up across every room, and Graft'd works out the cheapest way to buy them.
  2. If you need 60m of a cable that only comes in 50m drums, you have to buy two drums. Graft'd adds one clear line for the part of the pack the job does not use, so you are not out of pocket.
  3. Untick Charge the customer for whole packs on any quote to charge only what is used. The shopping list always shows the drums and packs to buy.

Send the quote and get it accepted

  1. Pick the customer and tap Save as Quote. Send it by email from Graft'd, or by WhatsApp or text from your phone.
  2. Your customer opens their quote page, sees the scope and the price, and taps Accept. You are told straight away, and Graft'd offers the next step: book the work, record the deposit or make the invoice.
  3. Want a deposit? Ask for a percentage or a set amount on the quote (a percentage is rounded to the nearest pound), and record it when it arrives. You can also record a deposit you were handed without asking for one.

Order the materials

  1. On a quote, tap Materials to my shopping list. Add your own reference, then send the list to your supplier by email, WhatsApp or print it.

Keep track of paying your team

  1. On a saved quote, tap Team to add the people on the job with their own day or hourly rate. Only you see names and rates. The customer only sees the number of people and days.
  2. Under Paying your team, type the days each person actually worked. Graft'd shows what each is owed and what is left for you from the labour you charged.
  3. Tap Mark paid when you pay them, or Send them the total by WhatsApp or text.
  4. Graft'd shows what you agreed to pay. It does not work out tax, National Insurance or CIS deductions, and it does not decide whether someone is self-employed. Check gov.uk or your accountant for that.

Tools for on site

  1. Arrived and left: with location switched on, Graft'd offers to log when you reach a booked job and when you leave. It only checks while Graft'd is open on your screen on a day with jobs booked, and it saves the time and how far you were from the job, never where you were. Turn it off on the Scheduler.
  2. Level and angle, Torch and Converter (lengths, heat, pressure and radiator output at lower flow temperatures) are in Office under On site. Hold the phone still for a second for the steadiest level reading.
  3. The Torch uses your phone's flash where the browser allows it (most Android phones, after you allow the camera). On iPhone the screen lights up instead.
  4. In Job Photos, draw arrows, circles and labels on a photo. The original is kept.
  5. Your screen stays awake during a walk-round, a voice quote, while the level is open and while a payment code is showing, and goes back to normal when you leave that screen.

Your Office

  1. Office holds the running of your business: Customers, Pipeline (waiting, won and lost), Scheduler, Expenses (snap a receipt), Payments, Price Lists and the Shopping List.
  2. When you log an expense, pick which job it was for. The quote then shows everything that job cost you.
  3. Add a new customer and Graft'd asks what is next: a voice quote, a typed quote or booking a visit.
  4. Certificates and records live there too: gas and plumbing records, electrical certificates, RAMS and job sign-off with the customer's signature.

Questions

Does Graft'd handle my customers' money?

No. Payment codes and links use your own payment provider and your own bank details, so the money goes straight to you. Graft'd never holds or moves it.

Can my customer see what I pay my helpers?

No. Names and rates of the people on a job are only shown to you. The quote, PDF, email and the customer's quote page only show the number of people and the days on site.

What if the scope of works gets something wrong?

Tap Edit and change it before you send. Anything you were unsure about on site is listed as to be confirmed rather than promised.

How do I delete my account?

Open Profile and tap Delete my account at the bottom, or email apps@marvanova.com from the email on your account. Everything is deleted within 30 days. Billing records are kept for six years because HMRC requires it.

Do I have to charge for whole drums of cable?

No. It is on by default because you have to buy the whole drum, but you can untick it on any quote and charge only what is used.
